Rent vs. Buy: The Real Cost of Cheap Event Linens

Buying linens from Amazon may look like a bargain on paper — but once you factor in pressing, storage, and labor, renting locally almost always wins.

Rent vs. Buy: The Real Cost of Cheap Event Linens

It happens all the time. Someone is planning a wedding, a gala, or a corporate dinner and they start doing the math. They pull up Amazon, see tablecloths listed at $8 or $12 a piece, and think: why would I rent when I can own them for less?

It is a completely understandable instinct. But it is also one of the most common — and costly — miscalculations in event planning. The price per piece is only one number in a much longer equation, and it is rarely the one that matters most.

The Number You See vs. the Number You Pay

When you buy linens online, the listed price is just the beginning. Here is what that $8 tablecloth actually costs you by the time it is on a table at your event:

  • The linen itself — let's say $10 per piece
  • Shipping — often $1–3 per piece, more for bulk orders
  • Storage before the event — space, bins, and organization time
  • Pressing and steaming — this is where the real cost lives
  • Transport to and from the venue — your time, your vehicle, your fuel
  • Post-event laundering — commercial washing, drying, and folding
  • Storage after the event — or the cost of disposing of linens you will never use again

By the time you have worked through that list, your $10 tablecloth has quietly become a $25–35 tablecloth. And that is before you have accounted for a single hour of human labor.

The Pressing Problem Nobody Talks About

Here is the part that catches people off guard every single time: linens shipped in bulk arrive wrinkled. Every single one of them.

Fabric that has been folded, compressed, and shipped in a box does not magically relax into a smooth, event-ready tablecloth. It needs to be pressed — properly, thoroughly, and individually — before it goes anywhere near a table.

For a small dinner party of 10 people, that might be manageable. But for a wedding reception with 20 round tables, a corporate gala with 30 banquet tables, or a holiday party with cocktail tables throughout a ballroom, you are looking at a serious undertaking.

What Pressing Actually Takes

Let's do the math on a 25-table event:

  • 25 tablecloths — approximately 8–12 minutes each to press properly = 3.5 to 5 hours
  • 25 sets of napkins (8 per table = 200 napkins) — approximately 2–3 minutes each = 6.5 to 10 hours
  • Runners or overlays — add another 1–2 hours

You are looking at a minimum of 10 to 17 hours of pressing labor for a single mid-size event. At even a modest $20/hour for skilled help, that is $200 to $340 in labor alone — just to make the linens presentable.

And that assumes you have access to a commercial-grade iron and pressing board, the skill to press different fabric types without scorching them, and the physical stamina to stand at an ironing board for the better part of two days before your event.

Most people do not have any of those things.

The Hidden Costs Keep Adding Up

Pressing is the biggest surprise, but it is not the only one. Consider what else comes with buying your own linens:

Storage Before and After

Where do 25 pressed tablecloths live between the time you press them and the time you load them into a vehicle? They need to be hung or carefully folded in a way that does not re-wrinkle them. That means dedicated space, garment bags or wardrobe boxes, and a plan for keeping them pristine until event day.

After the event, you face the same challenge in reverse — except now the linens are stained, crumpled, and need to be laundered before they can be stored again.

Post-Event Laundering

Commercial laundering for event linens is not the same as running a load of laundry at home. Large tablecloths require commercial washers and dryers. Delicate fabrics — velvet, satin, specialty weaves — need professional care to avoid damage. Stains from candle wax, wine, food, and floral dye need to be treated before washing, or they set permanently.

If you are buying linens to reuse, you need a plan for all of this. If you are buying them for a single event, you are paying for linens you will use once and then store indefinitely or discard.

The Opportunity Cost of Your Time

Time is the cost that never shows up on a receipt, but it is the one that event planners, brides, and hosts feel most acutely in the days leading up to an event.

The hours you spend pressing linens are hours you are not spending on florals, seating arrangements, vendor coordination, or simply resting before one of the most important days of your life. For a bride, a corporate event planner, or a host with a hundred other details to manage, that time has real value — and it is not something you can buy back.

What Renting Actually Includes

When you rent linens from a professional linen rental company, the price per piece looks higher on paper. But here is what that price covers:

  • Professionally laundered linens — cleaned, inspected, and ready to use
  • Pressed and event-ready — no ironing required on your end
  • Delivered or available for pickup — no logistics headaches
  • Correct sizing guaranteed — when you provide your floor plan and table specs, every linen fits
  • Post-event pickup or return — you hand them back and walk away
  • No storage burden — before or after the event
  • Expert guidance — on fabric selection, sizing, and styling for your specific event

The rental price is an all-in price. The purchase price is just the starting point.

When Buying Makes Sense

To be fair, there are situations where purchasing linens is a reasonable choice:

  • Recurring events — if you host the same event multiple times a year with the same table setup, ownership can eventually pay off
  • Simple polyester basics — standard polyester tablecloths in neutral colors are easier to press and launder at home than specialty fabrics
  • Very small gatherings — a dinner party for 8 with 1 or 2 tables is manageable to press yourself

But for weddings, galas, corporate events, holiday parties, and any event with more than a handful of tables? The math almost never works in favor of buying.
