Why Your Event Floor Plan Is the Key to Perfect Linens

You have chosen your linens. You have selected your charger plates. You have a vision for how your event will look. But without one critical document in hand before any order is placed, even the most beautiful rental selections can fall flat on the day of your event.

That document is your floor plan — and it is the single most important piece of information your linen rental team needs.

What Is an Event Floor Plan (and Why Does It Matter)?

An event floor plan is a scaled diagram of your venue that shows exactly where every table, chair, stage, dance floor, bar, and other element will be positioned on the day of your event.

For your linen rental company, it is not just a nice-to-have. It is the blueprint that determines:

  • Which linen sizes to order for each table
  • How many linens are needed based on exact table count
  • Whether specialty items — like head table drape or runners — will fit and flow correctly
  • How linens will drape based on table shape and the space around each table

Without it, your rental team is guessing. And guessing leads to linens that are too short, too long, or simply the wrong size for the tables your venue is providing.

The Most Common (and Costly) Mistake

Here is a scenario we see more often than you might expect: a client orders linens based on a rough estimate — "about 20 round tables" — without confirming the exact table diameter with their venue. The linens arrive, and the drop is two inches shorter than it should be. The look is off, and there is no time to reorder.

This is entirely preventable. All it takes is a confirmed floor plan with accurate table specifications before your order is placed.

What Your Floor Plan Should Include

A floor plan that truly serves your event team — and your linen rental company — needs to go beyond a simple room sketch. Here is what to include:

1. Table Count and Placement

Every table should be shown on the floor plan with a clear position in the room. This includes:

  • Guest dining tables (rounds, rectangles, farm tables, cocktail tables)
  • Head table or sweetheart table
  • Cake table, gift table, escort card table
  • Bar tops and cocktail stations
  • Any additional accent tables

Each table type may require a different linen, so placement and identification matter.

2. Table Sizes and Shapes

This is where most floor plans fall short — and where the most linen ordering errors happen. Your floor plan should specify:

  • Round tables: diameter in inches (common sizes are 48", 60", and 72")
  • Rectangular/banquet tables: length and width (common sizes are 6-foot and 8-foot)
  • Farm tables: exact dimensions, especially if they are non-standard
  • Cocktail/highboy tables: diameter and height (standard or bar height)
  • Specialty tables: any custom or irregular sizes your venue uses

Your venue or table rental company should be able to provide these measurements. If they cannot, ask specifically for the table manufacturer's model name — your linen rental team can often look up the specs from there.

3. Guest Count Per Table

Knowing how many guests will be seated at each table is just as important as knowing the table size. Here is why:

A 60" round table can seat 8 to 10 guests. At 8 guests, the chairs are spaced comfortably and the linen drop falls cleanly. At 10 guests, the chairs are closer together and may push against the linen, affecting how it hangs and whether it stays in place throughout the evening.

When your linen rental team knows the seating count per table, they can advise on the best linen length, whether a fitted style might work better than a draped style, and how to account for chair placement in the overall look.

4. Chair Type and Placement

The type of chair at each table affects linen selection more than most clients realize. Chiavari chairs, for example, have a different footprint and leg position than a standard banquet chair or a cross-back farm chair. Spandex chair covers require a specific fit. Sashes need to be tied or placed differently depending on the chair back style.

Note the chair type for each table section on your floor plan so your rental team can plan accordingly.

5. Head Table Configuration

The head table deserves its own detailed notation. Specify:

  • Number of guests seated at the head table
  • Whether it is a straight banquet table or a sweetheart table for two
  • Whether guests are seated on one side only (which affects front drape length)
  • Whether head table drape or a backdrop will be used behind it

A head table with 12 guests seated on one side requires a very different linen setup than a sweetheart table for two with a flowing chiffon backdrop behind it.

6. Room Dimensions and Clearances

Include the overall room dimensions and note any areas where space is tight — columns, walls, doorways, or areas where tables are close together. This helps your linen team anticipate whether a full-length drape will work in a given spot or whether a shorter drop is more practical to avoid tripping hazards or bunching against adjacent furniture.

How to Get This Information from Your Venue

Most venues have a standard floor plan they provide to clients during the planning process. When you receive it, ask these follow-up questions:

  • "What is the exact diameter of your round tables?" (Do not assume 60" — many venues use 66" or 72" rounds.)
  • "Are all the rectangular tables the same size, or do you have a mix of 6-foot and 8-foot tables?"
  • "What is the height of your cocktail tables — standard 30" or bar height 42"?"
  • "Do you provide the tables, or should I confirm sizes with my rental company?"

If your tables are coming from a separate rental company rather than the venue, request a spec sheet directly from them. Rental companies keep detailed records of their inventory dimensions.

Share Your Floor Plan Early

Once you have a confirmed floor plan with all of the above details, share it with your linen rental company as early as possible — ideally at the time of your initial consultation or when you are finalizing your order.

At LUXE Event Linen, a detailed floor plan allows our team to:

  • Confirm the correct linen sizes for every table in your order
  • Calculate exact quantities so nothing is missed
  • Identify any specialty needs — like extra-long drops for farm tables or fitted options for non-standard sizes
  • Advise on design choices that will work best given the room layout and table placement

The earlier we have this information, the more time we have to source exactly what you need and ensure everything is ready for your event day.

A Quick Floor Plan Checklist

Before submitting your floor plan to your linen rental team, confirm it includes:

  • Total table count by type (rounds, rectangles, cocktail, etc.)
  • Exact size/dimensions for each table type
  • Guest count per table
  • Chair type for each section
  • Head table configuration and seating count
  • Cake table, gift table, and any accent table dimensions
  • Room dimensions and any tight clearances noted
  • Venue contact or table rental company name for follow-up questions

The Bottom Line

A beautiful event starts long before the linens are pressed and the charger plates are set. It starts with a plan — a real, detailed, confirmed floor plan that gives every vendor on your team the information they need to do their best work.

When your linen rental company has accurate table sizes, guest counts per table, and a clear picture of your room layout, they can ensure that every tablecloth drops exactly as it should, every runner is cut to the right length, and every detail you envisioned is executed with precision.
